Managing Participant Records #
Registrations >> Participants >> Search for the Participant
Your participant records page is packed with tools for managing your runners. Here, you can make changes to an individual’s registration, set the bib number, resend the confirmation email, send a unique link to the runner for editing registration questions, view their confirmation, and check their current status.
To access the participant records, navigate to Registrations >> Participants. You can either search for a specific participant by name and click on their name in the search results, or click the pencil/paper icon in the edit column next to a runner in your participant list.
Understanding Participant Records #
At the top of the participant record, you will see order status, order number, and other helpful links. Let’s walk through the primary use of each.
Order Statuses #
In the top left corner of the participant record, you will see the order date along with one of six different order statuses, indicating whether the order was paid or is still pending:
- Manual Order: You manually added the order; no payment was made.
- Coupon: The runner registered using a coupon; no payment was collected.
- Pending CC Order (waitlist/lottery): The runner has not yet paid for their registration and will only be charged if invited to register.
- Credit Card: The customer has paid for the registration.
- Gift Card Order: The order was paid in full using a gift card.
- Refunded: The order was initially paid with a credit card, and that payment has been refunded.
Notes: If a coupon was used for partial payment, the order will appear as a credit card order because a credit card was used for the remaining amount. If the payment was made with both a credit card and a gift card, the order will appear as a credit card order.
Links #
- User Edit: This is a unique link that the runner can use to edit registration questions, cancel their registration (if enabled) transfer their bib (if enabled), or change their distance (if enabled). Simply open this page in a new tab, copy the link in your address bar, and share that directly with your runner if they are having trouble editing their registration.
- View Receipt: You can view the details of the runner’s order.
- Resend: Clicking this link sends a new copy of the confirmation email to the runner.
- Record Results: If you have Self-Reporting set up (for virtual results recording), you can share this link directly with your runner if they are having trouble reaching their self-reporting page.
Other Tools #
- Manually assign individual bib numbers. This is useful if you have already assigned bibs to all other runners and you have some late entries (See guide here)
- Use the search bar to search other participant orders.
- If you expand the member info section, you can edit the runner’s information if they registered as a guest. If you cannot click into any of the information fields, it means the runner registered while logged in, and any changes to their information must be made by them on their profile edit page.
- You can update the distance, price, and general questions.
- At the bottom of the participant record, you’ll find the Update and Remove buttons. If the order is pending, you will see Invite & Comp buttons also, allowing you to invite the runner from the waitlist or comp and add the order.
