Sending Invitations #

Invitations enable you to invite individuals to register for either a specific distance or all distances, even when event registration is closed or at capacity. Here is what you need to know about invitations:

1. You can choose to allow invitees to bypass capacity limits, waitlists, or both.
2. You can set an expiration date for the invite.
3. You can send the invitation via email & customize the message.
4. Invitations are associated with the recipient’s email address. Once the invitation link is used and an order is completed, the invitation will display an “order” link next to it. Clicking this link will redirect you to the completed order confirmation page.

Step 1: Add all required information. Check or uncheck the Bypass Capacity/Bypass Waitlist settings. Set an expiry date, select a specific distance or select all distances. When that is done click Add Invite

Step 2: Select the checkboxes next to the individuals you wish to invite in the “Invitees” section and personalize your message. Note: For larger batches of invites, you might want to deselect the BCC option to avoid receiving copies. Then click Send Invite(s)

Using the Invitation Link #

• Troubleshooting: If runners are encountering issues with their links or reporting that they’ve lost their invite link, you can easily resolve this by copying the invitation link from the view column and sharing it with them directly.
• Testing Registration: You can also use this method to test your registration process without actually opening registration.

Click the red icon to delete invitations:

Batch Loading Invitations #

You can use the “Batch load” feature to load invitations in bulk. Simply upload a three column CSV consisting of email, first, and last in that exact order using NO column headers.

Attention: When batch loading invites, it’s crucial to consider the Bypass Capacity/Bypass Waitlist setting, along with the expiration date and distance. Bulk editing is not available, so any errors will require deleting the invites and beginning the process again.
