Two reports, everything you need for race day check-in. Learn how to download the Master Grid and generate a printable Entrants Report sorted by name or bib.
Race day check-in goes smoothly when you have the right lists in hand. UltraSignup gives you two reports built for exactly that — the Master Grid and the Entrants Report. Each one serves a slightly different purpose. Here's how to use both.
Master Grid
The Master Grid is your all-in-one race day spreadsheet. It pulls together everything a check-in volunteer needs in a single download.
What's included:
- Bib numbers (once assigned)
- First and last name
- Age and gender
- Race distance
- Purchased add-ons
- Answers to any custom registration questions
To download it, go to the Participants screen of your event and click the green Master Grid heading at the top of the participant table. The file downloads automatically.
One thing to keep in mind: bib numbers won't appear until they've been assigned. If you're downloading the sheet ahead of packet pickup, assign bibs first.
Entrants Report
The Entrants Report is a clean, printable PDF export. It's useful when you want a paper list for check-in — sorted the way you need it, grouped the way makes sense for your event.
You'll find it under the Reports section of your event dashboard — not the Participants screen.
How to generate it:
- Go to your event and click Reports in the event menu.
- Under Participant Reports, choose your Report Type and Sort By options.
- Click Generate. The PDF downloads automatically.
Report Type controls how participants are grouped:
- Ungrouped — one list, everyone together
- Gender — split into separate sections by gender
- Age Group — grouped by age category
Sort By controls the order within each group:
- Last Name — alphabetical
- Bib — numerical by bib number
A practical combination: print one copy sorted by bib for packet pickup, and one sorted by last name for general check-in. Covers both situations without any extra setup.
