Setting Up Auto Credits

If you'd like to allow your runners to cancel their registration and receive a refund, partial refund, credit, or partial credit toward another event in your event group with a self-serve automated process, follow these steps to set up Auto Credits:

Navigate to Event Setup >> Auto Credits

• from the event setup menu, click "Auto Credits"

Understanding Auto Credit Functionality

• Auto credits are activated when a user cancels their registratoin before the event
• Runners can cancel their registration either:
  • Through their registration history (if they were signed into an account when they registered).
  • Via the edit link on their confirmation email receipt (for guest registrations).

Configure Auto Credits with Rules

• Event Selection:
  • Choose either a specific distance within your event or apply the credit rule to all distances.
• Credit Type:
  •  Select the type of credit you want to offer from the available options:
    • Give credit for a future event in your group ID
    • Refund back to participant's credit card
    • Rollover credit to next year's event
• Rule Type
  • Choose between:
    • Canceled X days before the event.
    • Canceled X days after the participant's registration date.

Example for Setting Up a Refund

• Example: Set up a rule for cancellations within 30 days after registration
  • Set percentage to 100 (for a full refund).
  • Click Add Discount to save the rule.

Editing Refund Configurations

• If needed, you can:
  • Remove distances.
  • Change the refund amount (percentage or dollar amount).
  • Delete rules.
• Click Save to apply the changes.

Example for Setting Up a Rollover Credit

• To offer rolllover credits (allowing runners to defer to a future event):
  • Select "If canceled X days before the event date."
  • Set this to 10 days before the event
  • Set the credit type to Rollover Credit and the percentage to 75%.

Editing Rollover Credit Configurations

• If needed, you can:
  • Remove distances or events.
  • Change the percentage to a dollar amount.
  • Delete rules.
• Don't forget to Save changes.

This feature is designed to allow you to automate cancellations and refunds effortlessly, giving you more time to focus on other important aspects of your event.
