How to Create a Participant Report
If you need to generate a participant report, here is a step-by-step guide:
1. Navigate to the Participant Screen
Under the "Registrations" right-hand menu, click on "Participants".
2. Select the Event Year from the Dropdown Menu
On the "Participants" page, select the year you want to work with using the dropdown menu. The current year will be selected by default.
3. Create Your Report
After selecting the event year, you can generate your report. Uitilize the various dropdown menus to customize the report based on the data you need.
4. Master Grid Report
The Master Grid is an excellent option for race day reports. This report includes important details such as:
- Bib numbers (once assigned)
- First and last names
- Age
- Gender
- Race distance
- Any purchased add-ons or answered questions
To download the master grid, click the green "Master Grid" heading on the participant screen. The sheet will automatically download.
5. Create Custom Reports
You have several options for generating more specific reports, including:
- Payment status: Create a report based on who has paid, who recieved a 100% coupon, or other payment statuses.
- Manually added participants: Generate a list of participants who were added by you or other race directors.
- Waitlist or Lottery: Create reports for participants currently on the waitlist or in the lottery.
- Distance-specific reports: Filter by specific race distances.
After making your selections, click "search" to view your filtered report.
6. Download Reports
Once you have created a report, choose the file format you'd like (excel or .csv) from the dropdown menu, and your spreadsheet will automatically download.
7. Additional Reporting Options
- Payment Status: Create reports of participants whose payments are still pending
- Removed Participants: Generate a report showing participants who have been removed from your event (either by you or through registration cancellations)
8. Reminder: Hit "Search" Before Downloading
Always remember to click "Search" before downloading any report to ensure the data is accurately filtered.
By following these steps, you can easily generate and customize participant reports, making it easier to manage your event data efficiently.
