How to Transfer Event Ownership to a New Race Director #

Situation 1: Event Date Passed, No Access to Contacts Tab #

If your event date has passed and you no longer have access to the contacts tab, follow these steps to transfer ownership to a new Race Director (RD).

Steps: #

1. Decide on Event Renewal:
   • If you don’t plan to renew your event and want the new RD to handle the renewal, reach out to UltraSignup Support.
2. Ensure New RD Account Exists:
   • Confirm that the new RD has an active UltraSignup account. Collect the email address linked to their account.
3. Contact UltraSignup Support:
   • Contact the UltraSignup Support team and provide the email address associated with the new RD’s account.
   • Inform them of the ownership transfer and specify what access levels you want the new RD to have.
   • For multi-year events, request historical access for the new RD. (Do you want the new RD to have access to financial and participant data from previous years? If so, the team will need this written verification from you.)
4. Support Team Assistance:
   • The support team can:
     • Add the new RD to the event before the event has been renewed.
     • OR provide a link to your contact page for you to add the new RD as a contact.

Situation 2: You Still have Access to Event Setup & Contact Tab #

You can directly renew your event and add the new RD via the event setup section. Simply go to Event Setup >> Edit Event >> Contacts and add the new contact.

Important Notes: #

• UltraSignup Policy: New RD access requires written approval from the current RD/owner to prevent unauthorized access.
• Member Profile Update: Changing your email address in your member profile to the new RD’s email address removes event access and doesn’t grant access to the new RD’s email. You will need to follow the above steps to ensure access is not lost.
• Contact Information Update: Updating one of the three emails in your contact information doesn’t provide access to the new RD. They need to be added as a separate contact.
